Minutes: 8/14/06 Time: 6:00 pm.
Excused: Treasurer Bob Dodge, Vice President Amy Krupp
Attendance: President, Kim Royster, Secretary, Gloria Alvarado, Rod Miller, Theresa Spitler, Becky Zoller, Brenda Fisher, Leslie Bolte, Jody Bacos, Brenda Brahier, Monica Heineman, and Joy Allen.
Secretary Report: Read and accepted by Brenda Brahier second by Becky Zoeller.
Treasurers Report: Bob was not in attendance but he did provide a printout with attachments that included spending for previous month, month to date, year to date and balance sheet of the accounting as of 8/14/06. Checking Account total $9,619.71.
Membership total income as of 8/14/06 is $3445.00 difference of $175.00 from the previous year, total of members 127. Membership has been turned into Dupps for listing in Football Program, deadline was of August 1st. However Bob has continued to submit names as they come in until Dupps tells him otherwise.
Mr. Miller requested $1,000.00 of his budget for High School Music Equipment to be applied to Band Camp Staff.
Unfinished Business: Donations for band camp treats from Kroger, Wal-Mart, Family Dollar and Community Mkt. were greatly appreciated and thank you notes will be sent out and also a thank you will be advertised in the local paper.
Uniforms: Molly was not in attendance but did provide a printout of the following: Approximately 98 students are in band and flag Uniforms paid to date: 54 Uniforms unpaid to date: 22 Flag Corp students dues are collected by Leslie Bolte. Avery special thank you to the parents who helped out with fittings were Brenda Brahier, Jane Fleming, Theresa Monaco, Vita Rhoda, Hope Davenport, Sherrie Quan, Bob Dodge and Gini Stevenson. T-shirt, gloves, shoes and garment bags have been ordered. Once orders arrive we will have a work party to place each child’s order into their own garment bags. Families are receiving itemized receipts to ensure they are receiving what they paid for. Brenda Brahier has volunteered to take over the uniform fittings for 07.
Locker signs: Leslie stated that after the meeting of 8/14/06 she and Brenda were going to look over samples she brought and that they would work decide which ones to go with and will proceed on finishing said decorations.
Concessions Stand: Gloria and Theresa reported that they had purchased a few items and compared pricing at GFS and Wal-Mart. Gloria reported that she left two messages for Mrs. Hefflinger in regards to feeding the band and that possibly it would be more beneficial to the program if we feed the band with the concession stand purchases and with donations from local stores. There was a feeling that it would be more costly and possibly hurt Mrs. Hefflinger feelings if we were not to use her services. However, Gloria did mention that she had sent out an email to the board on how to approach Mr. Hefflinger without hurting her feelings. We still would like for her services in feeding the band but with the donations and purchase already made. Gloria was given the ok to proceed.
New Business: Mr. Miller state that he is one day away from having a fall schedule for the band. Festivals band will be attending, Anthony Wayne in White House, Ohio, Arts Festival in PC. Also he mentioned the Ohio State Marching Band will be performing at the Port Clinton/Oak Harbor football game on October 13 at Oak Harbor and that both bands will perform with the Ohio State Marching Band. It was mentioned that boxed breakfast would need to be provided for the Ohio State Band for the following morning for they have a game at Eastern Michigan. The Ohio State Marching Band Director offered the Seniors to attend a Skull session at the Ohio State University and to also play with the band at one of the home games.
Fruit Sale: No report, Carol Fox was not in attendance.
Volunteer Form: Kim Royster stated that a volunteer form would need to be filled out if you are to volunteer for anything dealing with school events. Also if you volunteer for the concession stand there is no need to fill out said form.
Director Reports: Mr. Miller stated event though it was the hottest week of the entire year band camp went well. He is preparing a handbook and will give to Mr. Moore to approve before he sends it home with the students. Mr. Miller stated that the handbook contains guideline, fall schedule etc. He also will send out a monthly news letter and there will be a weekly sheet to keep parents up to date. Mr. Fox, Mr. Stitak and Mr. Bixler were not in attendance.
